Under the hood

How YodAI works behind the page.

The home page follows one inquiry. This page shows the machinery: how the parts connect, what a chatbot reply is allowed to do, how long YodAI remembers things, and what changes compared with joining separate tools.

How the parts connect.

A visitor reaches the chatbot, which answers from your knowledge base and hands over to a form. The form writes to one lead record, and that record starts the follow-up. Master YodAI, the setup assistant in your dashboard, builds all of it from a conversation.

Inside one chatbot reply.

The chatbot can quote from your price list, open forms and hand out coupons, so what it is allowed to do matters as much as what it says.

  1. The message arrivesWith the date, the time in the chatbot’s time zone and how long since the visitor’s last chat.
  2. Playbooks loadPlaybooks are written instructions, such as how to qualify a lead or answer a refund question. The chatbot loads only the ones you switched on, and only when the conversation needs one.
  3. A tool is chosenFrom the tools you allowed for this chatbot: search your knowledge base, open a form, show products, look up an order or hand out a WooCommerce coupon.
  4. The server checks againBeing offered a tool is not permission to use it. Every call is checked again against the chatbot’s saved settings, and the AI can pick a coupon offer you set up but never sets the discount.
  5. The reply goes outWith the page it answered from, a form inside the chat, or product cards from your catalog.

What it remembers, and for how long.

Memory that never forgets goes stale, and memory that forgets too soon makes customers repeat themselves. Each kind of memory in YodAI has its own rule for how long it lasts.

  • The conversation clock

Every chatbot reply knows the date, the time in the time zone you set for the chatbot, and how long it has been since the visitor last chatted. Someone who comes back after a break, a day by default, is welcomed back and asked whether to carry on or start fresh.

  • Knowledge base

Your website pages, Google Drive files, documents and notes. Pages and Drive files are read again on the schedule you choose, and a source with an expiry date is removed once that date passes.

  • What each lead told you

Form answers become fields on the lead record for your messages and segments. A newer answer replaces the old one, and these fields expire after 24 months by default.

  • Your team’s assistant notes

Off until you switch memory on for Master YodAI or one of your AI assistants. Then everyday notes expire after 30 days and observations after 60, while preferences and decisions stay until someone changes them. When it spots a new fact that contradicts an old one, the new one replaces it.

  • Your business profile

Who you serve, what you sell, your value proposition and your tone of voice. It stays as written until you edit it, and you choose which chatbots use it.

  • Returning customers

With the customer’s consent and a one-time PIN, the chatbot recalls what they told it last time. They can withdraw consent at any time, and erasing their data deletes it.

Not to scale.

What changes when it is one system.

The customerEach tool keeps its own copy of the customer, and the copies drift apart. One lead record for each customer email. The chatbot, forms, imports and follow-up all read and write it.
Chat and formsThe chatbot sends a link to a form on another page. The form opens inside the chat, and the chatbot sees the answers once the server confirms the form is complete.
Prices and discountsA price pasted into a chatbot’s instructions can be quoted wrongly or talked down.Prices come from your form’s calculation and coupons from offers you set up. The AI never sets an amount.
Starting follow-upSomeone exports a list, or a sync runs later.A flow starts when the form is submitted, an order lands or a lead joins a list.
TimingMessages go out on the sender’s clock.Texts and emails can go out at each lead’s local time, and AI calls stay inside calling hours in their time zone.
AnswersAnswers depend on whatever was pasted into the chatbot’s settings.Answers come from your own pages and files, read again on a schedule, with a link to the source.
